How can I reduce the amount of spam, junk mail I receive on my computer?

This is a question most customers ask us. There are free and paid solutions to reducing, not eliminating completely, the amount of junk or spam email you receive, such as Viagra, other sexually charged messages and fraudulent offers of money from a deceased relative in a far away land. Since we always recommend free software to clients, we also tend to offer solutions that can be carried out without spending more money.

The most draconian, but effective solution is to change your email address and take measures from then on to protect it, such as never, ever giving it out to anyone except family and friends. Once in the hands of less scrupulous commercial entities your email address is on "the list", and you can't have it removed. Even this solution is not 100% effective, so read on for the other suggestions. Chances are you will need to apply a mix of the actions suggested.

If your Internet Service Provider (ISP) provides you with a good web-mail service, such as Rogers does, we recommend very strongly that you use it. A web-mail service simply means that you are able to read your email from an Internet web page, like any other page, instead of using a specialised reader like Outlook Express, you know the program that has a white envelope for an icon and is present with every Windows computer. Unlike Outlook express, web-mail services from Rogers, Yahoo and Windows Live Mail, formerly Hotmail, will filter automatically the great majority of spam or junk emails for you.

If you really prefer to keep on using Outlook Express, not all hope is lost, but you will need to invest some time in creating and maintaining a set of mail rules. For your information, in the latest Windows called Vista, Outlook Express has been rebranded to Windows Mail, and it offers more user-friendly ways to combat spam than its predecessor. Ok, let's get back to Outlook Express: essentially, you want to create a rule that tells Outlook Express that if the sender is not in your address book, the email probably does not belong in your inbox and to forward it to a folder called spam that you will create. Remember to select all your email address recipients (Ctrl-A to Select all) and put them in the rule that you will create.
